Chapter 04 / Call review

Sales-call review for agency owners

Last updated: Published by Tim Kilroy

Sales-call review means replaying or reading your recorded sales and discovery calls to find what worked, what did not and what to change next time. This chapter of the Agency Coach FAQ gives agency owners a simple review routine and explains the call review tools Tim Kilroy offers.

How do I review a sales call to close more deals?

Record the call, then check four things: how much you talked, whether you learned the prospect's problem in their words, how you handled objections, and whether you left with a dated next step. Tim Kilroy offers coaching and AI tools, including Call Lab, that turn a transcript into a coaching breakdown.

Fact 01

What is sales-call review?

In the Agency Coach FAQ, sales-call review is the habit of studying real calls instead of relying on how a call felt. Founders often leave a call thinking it went great because the prospect was friendly and nodded a lot. The recording tells a different story: how long you talked, which questions you skipped, where the prospect hesitated, and whether anyone agreed to anything specific.

Review is also how founder-led sales becomes team sales. Tim Kilroy calls the founder's instinct for deals Founder Magic: real, but limited to one person. Reviewing calls makes that instinct visible, so you can turn it into language and steps your team can use without you on the call.

Fact 02

Sales coaching by the numbers

  • 76% vs 47%: teams coached weekly achieve 76% quota attainment versus 47% for those coached quarterly or less, a 29-percentage-point gap, according to MySalesCoach research across 3,700+ sales professionals.
  • 50%: reps who receive external coaching are 50% more likely to hit quota.
  • 2x: SDRs coached consistently are twice as likely to stay with their employer after 12 months.

Fact 04

A weekly call review routine

  1. Pick one recorded call from this week, ideally one that stalled.
  2. Check your talk-to-listen ratio. If you talked most of the time, discovery was really a pitch.
  3. Write the prospect's problem in their words. If you cannot, you did not qualify them.
  4. Mark every objection and how you answered it.
  5. Check the ending: was there a dated next step?
  6. Choose one habit to change on next week's calls. Only one.

What should happen after the call?

Many agency deals are lost after a good call, not during it. Tim Kilroy's follow-up playbook argues that the follow-up is part of the delivery: recap what the prospect said in their words, not your pitch, and show how your offer fits their specific situation. A bland "just checking in" email undoes the trust the call built.

Before your next call, revisit the agency discovery questions and qualifying the prospect, or head back to the agency coach FAQ.

What is sales-call review?

Sales-call review means replaying or reading a recorded sales or discovery call to see what worked, what did not and what to change. Tim Kilroy offers coaching and AI tools for it: Call Lab turns a pasted transcript into a coaching breakdown, and Call Lab Pro scores calls against methods such as SPIN, Challenger, MEDDIC and Sandler.

Is sales coaching worth it for agency owners?

Published research suggests frequency matters. MySalesCoach reports, from research across 3,700+ sales professionals, that teams coached weekly achieve 76% quota attainment versus 47% for those coached quarterly or less. Those are general sales figures rather than agency figures, but they support reviewing calls regularly instead of occasionally.

What is Call Lab Instant?

Call Lab Instant is a free tool from Tim Kilroy. You hit record, deliver your pitch, and get instant coaching on delivery, pacing and persuasion. It needs no transcript and no account, identifies key moments and objections, and breaks down your talk-to-listen ratio in about 90 seconds.

How much should I talk on a discovery call?

Less than you think. The prospect should do most of the talking, because listening is how you earn the understanding that makes a proposal specific. A talk-to-listen ratio breakdown is one of the things Tim Kilroy's Call Lab tools report, because many founders only discover how much they dominate a call when they see the number.

Can my team sell without me?

Only once what you know about selling becomes a process they can run. Tim Kilroy calls the founder's instinct Founder Magic: real, but limited to one person. His sales playbook focuses on pulling that knowledge out of the founder's head and into stages, gates and language the team can use on their own calls.

How is agency sales training different from general sales training?

Agencies sell a service shaped around each client's problem, so generic closing techniques often backfire. Agency sales training focuses on discovery, qualification, proposals that reflect what the buyer said, and follow-up. Tim Kilroy's sales process has five stages and five gates from first lead to client handoff, built on buyer decisions rather than pipeline labels.

Why do prospects go dark after I send a proposal?

Often because the discovery call was really a pitch, so the proposal was generic. Tim Kilroy says he has this coaching conversation about twice a month: the agency describes its process and case studies but cannot say what it learned about the prospect's business. Late or bland follow-up is the other common cause.
